Before the day

The July 2019 Graduation ceremonies will be held for graduands who have been awarded since Thursday 1st November 2018. To be eligible to attend, your award must be approved by the Assessment Boards on or before Friday 14th June 2019. Graduands who are awarded after this deadline will be invited to attend the next available ceremony for your course.


Please remember to keep your personal details up to date via MyRegistry to ensure you do not miss important email correspondence regarding your ceremony.


Invitation to Register

We will send invitation to register emails to both your student and personal (where available) email accounts with the details of your ceremony. You must register online as directed if you wish to attend your ceremony for your course.


All graduands must complete their online registration no later than 11:00pm, Sunday 23rd June 2019. Graduands will not be able to register online to attend their ceremony after this deadline.

Graduand Tickets

Graduands are not required to pay for their own ticket, but you will need to pay for your gown hire (further details below). However, you must register your attendance in advance to guarantee that a seat is allocated to you. To do this you must register online once you have received your invitation to register, no later than 11:00pm, Sunday 23rd June 2019.


Guaranteed Guest Tickets

Maximum of 2 guaranteed places:
You may bring along 2 guests with you to your award ceremony, however, you must ensure that you select the correct number of guests on the registration webpage in the guaranteed guest tickets box. Guest tickets cost £20 each and are non-refundable. Please note that due to health and safety regulations and the ceremonial nature of the event guest tickets are not available for babies and children under 6 years of age. Babies or children aged 5 years or under will not be permitted to enter Twickenham Stadium to attend the ceremonies.

You may bring along 2 guests only to your ceremony and these 2 guests will be guaranteed a place in the auditorium

Payment for your guaranteed guest tickets

After you have selected the number of guaranteed guest tickets that you would like to purchase, and completed your graduation registration, you will be able to pay for your guest tickets online as shown in the example below:

Please note that the cost of guest tickets is non-refundable once payment has been made. Entry to the venue will not be permitted without a ticket.





Children

Please note that due to health and safety regulations and the ceremonial nature of the event guest tickets are not available for babies and children under 6 years of age. Babies or children aged 5 years or under will not be permitted to enter Twickenham Stadium to attend the ceremonies or for photographs to be taken. Children aged 6 years and above may attend the ceremonies as guests. Please note that all guests, including children, must sit in an allocated seat. This means that seats for children will need to be reserved and purchased as guest tickets. Children will not be permitted entry to the venue on the day of your ceremony without a valid guest ticket.


Please also note that crèche facilities are not available and all children must be accompanied by a responsible adult at all times



Obtaining visa letters for overseas guests

If you are inviting guests or family (maximum of two) from abroad who need help in obtaining a visa to attend your Graduation Ceremony, please use your online registration confirmation along with your transcript as supporting evidence for the Home Office. Please go to the UK Border Agency website for Visa information. If the Visa application for your guests is unsuccessful, then contact your School Office



Gown hire (academic dress)

Academic dress is supplied by a company called Ede & Ravenscroft and must be ordered in advance of your ceremony.. Please note the University does not provide academic dress.



All graduands receiving awards must wear academic dress (robes). You can place your order online at www.edeandravenscroft.co.uk or by contacting the Ede & Ravenscroft call centre on 01223 861854. Academic dress must be ordered from Ede & Ravenscroft at least 21 days before your ceremony is due to take place.


There is a small discount if you book online. All relevant information explaining how to order your academic dress can be found on the Ede & Ravenscroft website.


Before ordering your academic dress, please make sure that you know your height, head measurement and level of award (see table below). To determine your head measurement use a flexible measuring tape. Place the end of the measure in the centre of your forehead and manoeuvre horizontally around the head until back to the starting point. This will give you your hat size. Measurements will be accepted in either centimetres or inches by Ede & Ravenscroft.

Official photography

Ede & Ravenscroft Graduation Photography will be available on the day for official photographs. You can order and pay for your official photographs in advance when ordering your academic dress. Official photography will only be available for two hours BEFORE your ceremony commences. Please note that due to health and safety regulations babies and children under 6 years of age will not be permitted to enter Twickenham Stadium for photographs to be taken.


Graduands/guests with special requirements

If you or your guests have any special seating requirements (e.g. wheelchair access) you should indicate this in the text box provided on your online registration form. Once we have noted any special requirements, we will then contact you with details of arrangements made.



Refunds/cancellation of attendance

Unfortunately the University is unable to offer refunds for guest tickets once these have been paid for.


Deferring attendance at your ceremony

Graduands may in exceptional circumstances request to defer attendance at their ceremony. You may only defer attendance for one year. If you wish to request a deferral of attendance you should email online.graduation@uwl.ac.uk at least 3 weeks before your ceremony is due to take place. You will be contacted by email to advise if your request to defer has been granted.



Outstanding balances

Please note that all outstanding balances (debts) to the University must be paid before you will receive your certificate. If you think you may have an outstanding balance please contact the University of West London  Student Finance Centre
