Where is my Student ID Number?

Your Student ID Number is located on any correspondence from the University of West London. It is an eight digit number. I can also be found on your Unique card.

Do students pay to attend their ceremony?

No. There is no charge for students to attend their ceremony but you must complete your online registration in order to reserve your seat. Guests of students will be charged £20 each. The charge for guest tickets is non-refundable.

Do I have to complete my registration by a certain date to reserve my seats?

Yes. You must complete your online registration in order to attend your ceremony no later than 11:00pm, Sunday 23rd October 2016. It will not be possible for you to attend your ceremony if you have not completed your online registration by this deadline.

Do I still have to register if I am not bringing guests to my ceremony?

Yes. You must register so that we can reserve a seat for you in the student seating area. You must also be in possession of a valid ticket. You will not gain entrance to the venue without a valid student ticket.

I have guests who are coming from overseas. How do I obtain a visa?

If you are inviting guests or family (maximum of two) from abroad who need help in obtaining a visa to attend your graduation, please use your online registration confirmation along with your transcript as supporting evidence for the Home Office. If the visa application for your guests is unsuccessful, then contact your School Office. Please note that due to health and safety regulations guest tickets are not available for babies and children under 6 years of age. Babies and children under 6 years of age will not be permitted to enter Weston Hall. Please also note that crèche facilities are not available onsite at the University and all children must be accompanied by a responsible adult at all times.

How many tickets am I allowed?

Each graduand is guaranteed 2 guest tickets at a cost of £20 each. This charge is non-refundable. Please note that due to health and safety regulations guest tickets are not available for babies and children under 6 years of age. Babies and children under 6 years of age will not be permitted to enter Weston Hall. Please note crèche facilities are not available onsite at the University.

Can I buy more than 2 guest tickets?

Unfortunately, the guest seating capacity is restricted due to the size of the auditorium, therefore you may bring along 2 guests only to your ceremony and these 2 guests will be guaranteed a place in the auditorium. . Please remember that babies or children aged 5 years or under will not be permitted to enter Weston Hall to attend the ceremonies.

How will I get my tickets?

Tickets will be sent out via 2nd class post to the address indicated on your online registration. You should receive your tickets no later than one week before your ceremony.

Please note that the cost of guest tickets is non-refundable once payment has been made. Entry to the venue will not be permitted without a ticket.

Which robe do I need to order?

When you register online you will be advised of the award that you will need to select from the Ede & Ravenscroft gown hire website. Please contact them via www.edeandravenscroft.com or their call centre on 01223 861854. All graduands must wear academic dress during the ceremony.

How do I measure my head?

To determine your head measurement use a flexible measuring tape. Place the end of the measure in the centre of your forehead and manoeuvre horizontally around the head until back to the starting point. This will give you your hat size. Measurements will be accepted in either centimetres or inches by the hire company.

Will the University of West London order my gown for me?

No. You are responsible for hiring your own gown by contacting Ede & Ravenscroft. Please contact them via www.edeandravenscroft.com or their call centre on 01223 861854.

How do I get to the University of West London?

What happens if I arrive late?

Please note that the ceremonies run to a very tight schedule and cannot wait for you and your guests if you are late! In previous years graduands have missed their slot due to late arrival and were unable to be presented. Please make sure this doesn’t happen to you – give yourself plenty of time to get to the University. You will need to allow one and a half hours before the start of your ceremony to register, collect your academic dress and have your photographs taken.

Can I bring my children?

Due to health and safety regulations and the ceremonial nature of the event guest tickets are not available for babies and children under 6 years of age. Babies or children aged 5 years or under will not be permitted to enter Weston Hall.


Children aged 6 years and above may attend the ceremonies as guests. Please note that all guests, including children, must sit in an allocated seat. This means that seats for children will need to be reserved and purchased as guest tickets. Children aged 6 years and above will not be permitted entry to University on the day of your ceremony without a valid guest ticket

Can I sit where I want?

You and your guests must sit in the seats allocated to you. You must sit in the seat number allocated to you on your graduand name card, which you will receive on arrival at the Registration Desk. You will not be seated next to your friends or guests as the seats have been allocated in alphabetical order for each award. This is the order that you will be called onto the platform. If you do not sit in the correct seat you will miss your turn.
